Gym Management Software Pricing (2026): What Every Platform Charges

A single gym pays roughly $50 to $350 a month for management software, but the sticker matters less than the meter: members, active customers, weekly sessions, staff or locations. Here's what every platform with a published price charges, read from each vendor's own page this month, the costs on top of the subscription, and the same two gyms priced all-in for year one.

Gym management software for a single gym or studio costs roughly $50 to $350 a month in 2026, and most published mid tiers sit between $79 and $200. The sticker matters less than the meter. Some vendors charge by members, some by active customers, some by weekly sessions, some by staff, some by location, and the same studio can pay $79 on one platform and $300 on another before it adds the member app. ManageYourGym is $79, $169 or $349 a month with every feature, a member app under your gym's name and no setup fee on all three.

Every price below was read from the vendor's own pricing page on 8 October 2026, on monthly billing, in US dollars. Where a page shows no number, it says "quote only", even if a directory has one. We're a vendor too, so we've shown the arithmetic: the same two gyms priced on each platform, all-in for year one. If you're in India, the rupee version with GST is a better read.

How do gym software vendors charge?

There are five meters in use, and each one punishes a different kind of gym. Knowing which one you're being sold tells you what the bill does when you grow, or when you have a quiet summer.

Flat plans with unlimited members and staff also exist: GymRoute and PushPress both say so on their pricing pages. There the meter moves to features and to payment processing.

Read from each vendor's own pricing page on 8 Oct 2026. Annual rates where shown: Arbox $39/$99/$239, WellnessLiving $62/$179/$314; GymMaster gives 10% off annual and ManageYourGym's yearly plans are $749, $1,619 and $3,349. WellnessLiving was running an 80%-off-for-two-months offer to 16 Oct 2026; Mindbody's FAQ also mentions a $79 starting price in North America and Asia, against $99 in its headline. Gymdesk's and GymWyse's pages couldn't be read today (Gymdesk blocked our request; GymWyse's domain now redirects to a for-sale page), so they're left out rather than guessed.

Quote-only, as of today: Glofox (the pricing page is a form), Momence and bsport (plans named, no prices, "get a quote" on every tier), FitnessForce, and Virtuagym, whose business pricing page offers a demo and pricing call and shows no numbers. Enterprise tiers at Arbox, Mindbody and WellnessLiving are quote-only too. Our Glofox alternatives page covers the switching side.

What costs extra on top of the subscription

The headline plan is rarely the invoice. These are the lines to look for, with only the numbers the vendors publish.

  • Branded app. The biggest swing. PushPress charges $97 a month, TeamUp $99, GymMaster $150 plus a $450 setup fee, Zen Planner $39. At Arbox it means moving to the $299 plan, and at Mindbody, GymRoute and WellnessLiving it's an add-on or upper tier. On ManageYourGym it's included on every plan, and the member app is set up during onboarding.
  • Setup and onboarding. GymMaster's $450 is the only setup fee in the published set. Mindbody and TeamUp say there is none, Arbox's page mentions none, and WellnessLiving includes free migration and training. ManageYourGym has no setup fee.
  • Payment processing. This is the cost most price pages leave out. PushPress publishes it: 4.99% + $0.30 on the free plan, 2.89% + $0.30 on Pro and 2.75% + $0.30 on Max. Mindbody says rates vary by transaction type, plus $0.10 to $0.30 fixed. On a gym taking $20,000 a month by card, a point of difference in the rate is $200, more than most plan upgrades. With ManageYourGym, members pay through your own Stripe or Nomod account (Razorpay in India), so the processor's own rates apply and the money settles to you.
  • Messages. Mindbody sells extra texts beyond its bundle at "a fraction of a cent each"; WellnessLiving prices SMS pay per use. Ask what the bundle is, and whether WhatsApp is counted separately.
  • Hardware. GymMaster's door access is $40 a site a month on top of the plan, with key fobs at $1.30 and readers at $300. Zen Planner's card readers are $39 a month. ManageYourGym checks members in by QR code on a phone or tablet, so there's nothing to buy.
  • Your own store listing. If the app is published under your name, you pay Apple $99 a year and Google a one-off $25 for your developer accounts, whichever software you pick. It's the same on every platform, so we add $124 in year one wherever the example includes an app under your name.
  • Tax. In the UAE the software invoice is a business purchase: a VAT-registered gym can normally recover the 5%, and if the vendor is based overseas, the gym usually accounts for that VAT itself under the reverse charge. Ask the vendor how it invoices, and your accountant how to book it. Okfit and GymMaster both list prices before tax.

What would the same gym pay? A worked example

Here's a gym of 150 members on one site that wants a member app under its own name, priced for year one on monthly billing. Subscription × 12, plus add-ons and setup, plus $124 for the Apple and Google accounts where an own-name app is part of the price.

Payment processing and messaging are extra everywhere and left out. Where an add-on has no published price, the row shows the subscription and "+ app".

Now the same business after a year of growth: 450 members across two branches. Few vendors publish what a second location costs, and the gaps are the story.

Okfit comes in under us in the first example ($948, though we've added store fees to ours and not to theirs), and PushPress's free plan is $0 if you accept a 4.99% card rate. Better you see that here than on a call. What we think holds up is the combination: every feature on every tier, the app under your name without a separate line, and a price that's still published when you add a branch. Why do some vendors hide their prices?

It isn't always a trick. A vendor selling to chains and franchises really does quote differently by size, region, payment volume and contract length, and putting one number on a page can mislead a 40-location buyer. Some of them also bundle payments, hardware or a marketplace into the price, so the quote is a package, not a plan. Those are fair reasons.

The cost lands on the buyer, though. You can't compare, you spend a demo before you learn the figure, and you negotiate from the vendor's anchor instead of your own. If a platform has published plans for small gyms and a quote for enterprise, as Mindbody, Arbox and WellnessLiving do, that's reasonable. If every tier is a form, assume the number varies by who's asking, and ask for it in writing before you invest time moving data.

How to read a quote

Whatever the vendor, take these questions to the call and get the answers in the quote itself:

  • What exactly is the meter, and how is it counted? Frozen members, leads, staff and second locations are where the surprises are.
  • What happens to the price when I grow 50%, or when I add a branch?
  • Is the member app under my name in the App Store and Google Play, or is it theirs with my logo? What does it cost per month, and is there a setup fee?
  • Whose merchant account does the card money land in, what is the rate for my card volume, and when do I get paid?
  • How many SMS or WhatsApp messages are included, and what does the next one cost?
  • What is the minimum term, the notice period and the exit? Can I export my member and payment history?
  • Is the quote ex-tax? In the UAE, will the invoice carry VAT, and will it show my TRN on my side of the paperwork?
  • Will you migrate my data, and is it free?

Do gym software vendors charge setup fees?

Most don't. Of the platforms with published prices, only GymMaster states one, $450 with its branded app. Ask about migration and onboarding in the quote, since some vendors fold those into a separate line.

How much does it cost to get my own gym app in the App Store?
