Best Gym CRM Software (2026): Lead Management Compared

A gym enquiry is won or lost in about a week, usually on whether someone called back the same day. Here are seven CRM options for gyms and studios, where each keeps its lead tools and what that tier costs, one 400-member gym priced on each, and what to check before you pick.

By Pranat Sharma

The best gym CRM is the one built into the software that already runs your memberships, because a lead only turns into money when the trial, the sign-up and the first payment happen in the same place. ManageYourGym includes lead capture, a daily follow-up list, trial classes, multi-day QR trial passes and automatic WhatsApp and email follow-ups on every plan, from $79 a month (AED 290). PushPress sells its CRM as a $329 add-on, WellnessLiving starts lead management on its $199 Business plan, and standalone tools like Gleantap and HubSpot still need a separate gym system.

Below: what a gym CRM actually has to do, six options priced and two that quote with prices read from each vendor's own pricing page on 27 October 2026, one 400-member gym priced on each, and how to pick. If you're in the UAE, every price has its dirham figure at the 3.6725 peg.

What does a gym CRM actually need to do?

Sales CRMs are built for deals that take months. A gym enquiry is decided in about a week, usually by whether someone called back the same day and whether the trial went well. So the checklist is shorter and more specific than a sales team's.

  • Catch every enquiry in one list: website form, Instagram bio link, Google profile, WhatsApp, walk-ins. If a lead lives in someone's phone, it's already lost.
  • Tell the desk who to call today. Not a pipeline to admire. A short list: overdue first, then due today, with one tap to call or WhatsApp.
  • Book the trial without a second system. A free spot in a real class, or a pass that lets them in for a few days on the same scanner members use.
  • Follow up on its own. A message when they enquire, before the trial, after they came, and when they didn't show.
  • Convert in one step. Turning a lead into a member shouldn't mean typing their details again, and the sale should land in the same revenue reports.

Read from each vendor's own pricing page on 27 Oct 2026. WellnessLiving was running 80% off for two months to 31 Oct; regular prices shown. Glofox and Mindbody include lead tools too but publish no price for the tiers they sit on, so they're not in the table. Gymdesk's pricing page wasn't reachable from the UAE when we checked.

1. ManageYourGym: the CRM is part of the gym

Enquiries come in from a form on your public gym page, a standalone enquiry link, an embed that sits on your own website, and share links tagged by source (Instagram, Google, Facebook, WhatsApp), so you can see which channel actually brings members. The form asks for their goal and the best time to call, which makes the first call easier.

Every morning the follow-up desk shows who's overdue and who's due today, with one tap to call, WhatsApp or log the call. A lead can be booked into a free spot in any class, tagged as a trial on the roster, or given a 1 to 14 day QR pass that works on the same scanner as your members. New-lead, upcoming-trial, attended and missed-trial follow-ups go out by WhatsApp and email on their own. Converting opens the member form already filled in.

It's on every plan, with nothing to add on. See lead management.

2. Arbox

Arbox is built for boutique studios and CrossFit boxes. Lead and task management and automatic actions start on Standard ($129, about AED 474), which also lifts its weekly-session limit. Its own-name member app is on Professional ($299). Standard costs less than our Professional plan; what you give up for that is the member app under your own name and follow-ups on WhatsApp. We've covered it in depth in Arbox alternatives.

3. PushPress

PushPress runs CrossFit and functional gyms well. Its CRM is a separate product, Grow, at $329 a month: lead capture forms and landing pages, automated emails and texts, workflows. Leads are unlimited on every Core plan, but the tools to work them are in Grow. So a gym on Core Pro with Grow pays $488 a month (about AED 1,792) before card fees and before the $97 branded app.

4. WellnessLiving

WellnessLiving is a full studio platform with a deep marketing side. Lead management and email and text marketing start on Business ($199). Two-way SMS is pay-per-use, and its AI tools are add-ons. It's a strong choice for a studio that wants marketing campaigns in the same system. See WellnessLiving alternatives for how it compares on the rest.

5. Gleantap

Gleantap is a marketing CRM built for fitness, not a gym system. It sits on top of Mindbody, ABC Fitness, Zenoti and others: pipeline, customer journeys, email and SMS campaigns, an AI inbox. Engage is $299 per location a month on a yearly plan, with 1,000 active contacts. It's powerful, and it's a second bill and a second login on top of the software that already runs your gym.

6. HubSpot

HubSpot's free CRM is genuinely good for tracking enquiries, and plenty of gyms start there. But it doesn't know who's a member, who checked in or who's overdue, so every conversion is a copy-paste into your gym software, and your lead-to-member numbers live in two places.

7. Glofox and Mindbody

Both have lead tools and both are common in Dubai studios. Neither publishes the price of the plan you'd need, so you'll get a quote. Our Glofox alternatives and Mindbody alternatives in the UAE cover what owners report paying and how to leave.

What one 400-member gym pays

Take a gym with 400 members, two people on the desk and about 60 enquiries a month. It wants enquiries in one list, trials booked, follow-ups sent on their own, and memberships billed in the same system.

Your gym software + HubSpot Starter (2 seats)$14 to $40 + your gym software51 to 147 + your gym software

Monthly prices from vendor pages, 27 Oct 2026, AED 3.6725 to the dollar. Card processing is extra everywhere. ManageYourGym's figure also includes an own-name member app and trainer app.

Arbox Standard costs less on this gym. What the extra AED 147 buys on ManageYourGym is the member app under your own name, multi-day trial passes on the members' scanner, and follow-ups on WhatsApp, which is where UAE and Indian leads actually answer.

How to choose a gym CRM

  • If you already like your gym software, check its own lead tools before buying a second system. A built-in CRM that you use beats a better one nobody opens.
  • If your leads answer on WhatsApp, make WhatsApp follow-up a must-have. Plenty of US-built tools only text and email.
  • Ask how a trial works. If the answer involves a paper guest list, the CRM stops at the front door.
  • Ask for the price of the tier with the lead tools, not the entry price. That's where most of the difference hides.
  • Look at conversion reporting. You should be able to see, by source, how many enquiries became paying members last month.

Frequently asked questions

What is a gym CRM?

It's the part of your software that handles people who aren't members yet: enquiries, follow-up calls and messages, trials and conversion. In a gym it works best inside the membership system, so a trial pass and a sign-up don't need a second tool.

Do I need a separate CRM if I have gym management software?

Usually not, if your gym software has real lead tools: capture, a follow-up list, trials and automatic follow-ups. A separate CRM like Gleantap or HubSpot makes sense for a chain that runs large email and SMS campaigns across many locations.

What is the best CRM for a small gym?

One that's included in what you already pay. ManageYourGym includes lead management on its $79 Starter plan, up to 150 members. Arbox includes it from Standard at $129.

Can a gym CRM send WhatsApp follow-ups?

Some can. ManageYourGym sends new-lead, trial and missed-trial follow-ups on WhatsApp and email, on by default. Several US-built tools follow up by SMS and email only, so check if your leads live on WhatsApp.

How fast should a gym follow up on an enquiry?

The same day, ideally within the hour. That's why the first follow-up should send itself and the desk should see a call list every morning, not a pipeline they have to go looking through.
