Run classes without a spreadsheet

From setting the schedule to filling the last spot, class booking is built into the same dashboard as the rest of your gym.

Recurring class schedules

Set up a class once — time, trainer, duration, capacity — and it repeats on schedule, with per-occurrence overrides when you need a one-off change.

Capacity that actually holds

Bookings are confirmed on a first-confirmed-wins basis, so you never end up with more members turning up than the class can hold.

Free or paid classes

Run free classes or charge for them — a paid booking holds the spot in a pending state until the member pays in the app or at the front desk.

Class packs and drop-in passes

Sell a 10-class pack or a single drop-in credit alongside your memberships. One credit books any class, the credit comes back on an early cancel, and packs sell at the front desk or in the member app.

Automatic waitlists

When a class fills up, new bookings join a waitlist and are promoted automatically the moment a spot opens — no manual re-checking.

Roster & notifications

See confirmed, pending-payment, and waitlisted members for every class at a glance, and members get notified the moment they are moved off the waitlist.

From a WhatsApp group to a real booking system

Most gyms that run group classes start by managing them in a WhatsApp group or a notebook at the front desk — and it works, until a class fills up and three people show up expecting a spot that does not exist. ManageYourGym replaces that with a real booking system: you set the schedule once, set a capacity, and the system enforces it.

Set it once, it repeats itself

A class template — time, duration, trainer, capacity, and price — repeats on schedule without you re-creating it every week. Need to swap a trainer for one Tuesday, or drop the capacity for a single session? Override just that occurrence without touching the rest of the schedule.

Capacity that holds under pressure

Bookings are confirmed first-come, first-served, and the system enforces it at the database level so two members can never both take the last spot. Members in the member app see live availability before they book — no surprises when they arrive.

A waitlist that fills itself

Once a class is full, new bookings automatically join a waitlist instead of being turned away. The moment a confirmed member cancels — or you raise the capacity — the next person in line is confirmed and notified, with no one having to keep refreshing to check.

Charging for classes works the same way payments do everywhere else in ManageYourGym — see billing & payments for how UPI collection fits together across the platform.

Deciding what to charge? Our guide to pricing a class pack against your membership works the ladder from the per-visit rate a regular actually pays, with 2026 Dubai and US prices, expiry windows and the credit-on-cancel rules. For the classes themselves — which slots, how many people, how they book — here is how to run group classes. Still comparing tools? We priced ten class booking platforms on one studio.

Class booking — frequently asked questions

Can I run both free and paid classes?

Yes. Each class can be priced individually — leave it free, or set a price and the member pays in the app or at the front desk to confirm the spot. You choose per class, not per gym.

Can a member buy a class pack instead of a membership?

Yes. ManageYourGym sells class packs — a bundle of credits such as a 10-class pack, or a single drop-in pass — alongside monthly memberships, and a member needs no membership to hold one. One credit books any class. A membership that includes classes covers free classes; a priced class uses a pack credit first, then per-class payment. Credits return to the pack when a member cancels before the class's cutoff (on by default; a gym setting), packs can expire after a set number of days, and members buy them at the front desk or in the member app once online payments are connected.

What happens when a class is full?

New bookings join a waitlist instead of being turned away. If a confirmed member cancels or you raise the capacity, the next person on the waitlist is automatically confirmed and notified.

Can I change one class occurrence without changing the whole schedule?

Yes. A recurring class can have a single date overridden — a different trainer, a different capacity, or a cancellation — without touching the rest of the recurring schedule.

What happens to bookings if I cancel a class?

Cancelling an occurrence automatically cancels its bookings and voids any pending payments. Payments that had already gone through are counted for you at the moment you cancel, so you know how many refunds to process. Any class-pack credits used for those bookings go back to the members' packs.
