How Much Does Gym Management Software Cost in India? (2026)

Published prices for a single Indian gym run ₹500 to ₹2,500 a month. The number you actually pay is higher — 18% GST you can't claim back since September 2025, plus messages, setup and gateway cuts. Here's the all-in figure by gym size.

Published prices for a single gym in India run from about ₹500 to ₹2,500 a month, and most rupee-priced products land between ₹800 and ₹1,500. A 150-member gym should budget around ₹17,500 for the year, all in.

That all-in number is the point of this post. The figure on a pricing page is not what leaves your bank account, and the gap isn't small — 18% GST that your gym can no longer claim back, message charges, sometimes a setup fee, sometimes a payment gateway cut. None of it is hidden exactly. It's just never in one place.

So here's the whole bill. I sell one of these products, so I've put our own prices in every table and I've named where each other figure came from. What does gym software cost in India right now?

Everything below was read on 1 August 2026, and I've said where. Note the difference between a vendor's own page and a directory listing — directory prices in this category go stale quietly, and I've seen listings two years out of date sitting next to a "2026" heading.

The four ways gym software is priced — and which one bites later

Two products at ₹1,500 a month can behave completely differently at 300 members. What decides that is the pricing basis, and it's the question almost nobody asks on a demo call.

  • Per gym, flat. One price, any number of members. Predictable, and it's what most rupee-priced Indian products do. GymForce is the clearest example — ₹9,998 a year, unlimited active members
  • Per gym, tiered by member count. You pay a band, and cross a line and you move up. That's ours: ₹1,499 up to 150 members, ₹2,499 up to 500. Fine, as long as you know where the next line is before you sign
  • Per active member. The bill follows your growth, quietly. Zen Planner is $99 a month at 45 members and $229 at 150 — the same software, no plan change, just more members. At 150 that's roughly ₹22,000 a month, which is more than 12% of what a ₹1,200-a-member gym collects
  • Per branch or per staff login. Common in Indian products, and the trap is the second branch, not the first. Ask what a second location costs on the day you're still running one

One question settles most of this: "if I go from 140 members to 260 next year, what does my bill become?" A vendor who answers with a number is fine. A vendor who says "let's talk when you get there" has told you something.

What costs are not on the pricing page?

This is where the sticker price and the real one part company. Not all of these apply to you — most gyms pay two or three of them.

The GST bit that nobody puts on a pricing page

Software in India carries 18% GST. That has always been true and it's not interesting on its own. What changed is the other side.

Since 22 September 2025, gyms and fitness centres charge 5% GST without input tax credit, and there's no option to charge 18% with credit any more. Input tax credit is the mechanism that lets a business subtract the GST it paid on purchases from the GST it collects. Take it away, and every rupee of GST you pay on rent, equipment and software is simply a cost. We covered what the 5% rate means for a gym when it landed, including a sample invoice.

So the 18% on your software is real money you never see again. A ₹1,499 plan is ₹1,769 a month. ₹14,389 a year is ₹16,979. GymForce's ₹9,998 is ₹11,798. Multiply every quote you collect by 1.18 before you compare anything, and if a vendor quotes you a number without saying whether GST is included, ask — that single question moves the comparison more than most feature differences do.

What does it actually cost, by gym size?

Three real cases, all in, for a year. Message counts assume a joining message, a payment receipt, a renewal warning and an overdue nudge per member per year, plus a few festival offers — which is roughly what a gym that uses reminders properly sends.

The row worth staring at is the message column. Reminders cost a few hundred rupees a year, not thousands — provided your fee reminders go out as utility messages rather than marketing ones. Send the same words in the wrong category and that ₹500 becomes ₹3,700. It's the cheapest large mistake in this whole table.

How much should a gym spend on software?

My rule of thumb is 1% to 3% of what you collect in a month. A gym with 150 members on ₹1,200 collects ₹1.8 lakh, so ₹1,800 to ₹5,400 a month is a fair band. Our Starter at ₹1,769 including GST sits at the very bottom of it, and GymForce sits below that.

Below about ₹1,000 a month you're usually buying something that will irritate your front desk daily, and irritated staff quietly go back to the register. Above ₹5,000 for one gym you're paying for a chain's feature list — diet chart builders, marketing pipelines, branded apps. Those are the rows demos spend their best twenty minutes on, and they're rarely what a 150-member gym is losing money to.

The other way to size it: one ₹1,200 member who leaves because nobody noticed their plan expired costs you ₹14,400 over the following year. That's the whole annual software bill, from one missed renewal. If you're not sure the spend is justified, count how many expired without a follow-up last quarter — our renewals post has the message timeline that stops it happening.

Five ways to pay less without buying worse

  • Pay yearly if the cash flow allows. Ours is ₹14,389 a year against ₹17,988 billed monthly — ₹3,599 saved for a decision you'd make anyway. Most vendors have a similar gap; ask for it if it isn't advertised
  • Get the category right on your reminders. Fee reminders are utility messages, not marketing. Same words, roughly seven times the cost if you file them wrong
  • Don't buy the branch tier before you have the branch. Move up the month the second location opens, not the month you start thinking about it
  • Skip biometric hardware unless you've already got the device. A QR scan on a tablet you already own gives you the same attendance record — the device prices and running costs are in our attendance guide
  • Ask for migration to be included, in writing, before you sign. It nearly always is if you ask first, and nearly always isn't if you ask after

What is the real all-in cost for a 150-member gym?

Around ₹17,500 a year. That's roughly ₹14,400 of software, about ₹500 of WhatsApp reminders, and ₹2,590 of GST that you cannot claim back. Setup and migration are usually free if you ask before signing, and there's no payment gateway cut at all if your members pay cash or by UPI on your own QR code. Works out near ₹1,460 a month, or under 1% of what that gym collects.

Do I pay GST on gym software, and can I claim it back?

You pay 18% GST on the software, and no, you cannot claim it back. Since 22 September 2025 gyms charge 5% GST without input tax credit, with no option to charge 18% with credit instead, so GST paid on your inputs — software, rent, equipment — stays a cost. Budget every software quote at 18% above the advertised figure.

Is ₹500-a-month gym software any good?

Sometimes, and it's worth a trial rather than an assumption. The things that usually give at that price are reminder automation, support response time, and how the product behaves once a few hundred members are inside it. Test it with your real member count in your busiest week, and check you can export everything to Excel yourself before you commit any data to it.

Is it cheaper to buy gym software with a one-time payment?

Over three years, yes — a one-time desktop licence works out around ₹26,700 against roughly ₹50,900 for a ₹14,389-a-year subscription. What you give up is updates when tax rules change, backups, access from anywhere, and anything your members can use themselves. What I'd do before paying anyone

Write down your monthly collection, then work out 1% to 3% of it. That's your band, and it stops a demo from setting your budget for you.

Then ask every shortlisted vendor the same four questions by email: is GST included in that number, what does it become at double my current members, what do you charge for setup and migration, and can I export my own data to Excel. Four short answers, in writing, and the comparison usually makes itself. Anyone who won't answer the last one in a single word has answered it.
