A member app with QR check-in lets each member open your gym's app, show their personal QR code at a tablet by the door, and walk in. The visit is logged against them, an expired membership is stopped or given a grace period, and nobody at the desk has to look anyone up. For a Dubai gym, all you need is the app, a spare Android tablet or phone at the entrance, and an Apple and a Google developer account in your gym's name if you want the app under your own brand.
With ManageYourGym, that own-name app is included on every plan, from AED 290 a month ($79). This guide covers how QR check-in works, what you need to set it up, what an own-name app costs on other platforms, and the questions Dubai owners ask before switching off the paper register or the fingerprint machine.
How QR check-in works at the door
- Every member gets a unique QR code in the app. A printed card works too, for the few who prefer one.
- A tablet or phone at the entrance runs in full-screen scanner mode. No turnstile, no reader to buy.
- The member holds up their code. The scanner checks their membership in a second and logs the visit.
- An expired or unpaid member is stopped at the scanner, or let in during a grace period you set, and the desk sees why.
- Check-outs work the same way, which is what powers a live headcount members can see before they leave home.
That last point matters in Dubai, where evenings after 6pm are packed and members will happily train at 3pm if they know it's quiet. The app shows a live Quiet / Moderate / Busy / Packed read with an hourly curve. See live occupancy.
QR, fingerprint or turnstile?
| Method | What you buy | Good at | Watch out for |
|---|---|---|---|
| QR code in the member app | Nothing: any Android tablet or phone | Cheap, fast to roll out, works with the app members already use | A member can screenshot their code for a friend, so pair it with a glance from the desk |
| Fingerprint or face device (eSSL, ZKTeco) | A device at the door | No phone needed, hard to share | Hardware cost, enrolment of every member, devices that go offline |
| Turnstile with card or QR reader | A turnstile and installation | Physically stops non-members | The most expensive option, and it still needs software behind it |
Most Dubai gyms and studios we talk to start with QR. If you already have an eSSL or ZKTeco device at the door, ManageYourGym connects to that too and our team sets it up with you, so members can use either. See attendance.
What you need to set it up
- An Apple Developer account as an organisation ($99 a year, about AED 364). Apple asks for a D-U-N-S number for your company, which is free and takes a few days, so start it first.
- A Google Play developer account ($25 once, about AED 92) in the gym's name.
- Your logo, brand colours and the name you want under the icon. We build the member app and the trainer app with them and submit both to the stores.
- An Android tablet or phone at the entrance, on Wi-Fi, in scanner mode.
- Your members in the system. Members sign in with their phone number, so anyone you've already added can use the app the day it's live.
Apple and Google review every new app, and their timing is theirs. Until your own listing is approved, members can use the ManageYourGym member app with your gym code, so QR check-in can start on day one.
What does an own-name gym app cost in Dubai?
This is where gym software prices differ the most. Many platforms include a member app under their own name and charge extra for one under yours. Here's what the platforms UAE gyms shortlist charge for an app in your gym's name.
| Platform | App in your gym's name | AED a month |
|---|---|---|
| ManageYourGym | Included on every plan, member and trainer apps | From 290, all-in |
| PushPress | Add-on, $97 a month | 356 on top of the plan |
| TeamUp | Add-on, $99 a month | 364 on top of the plan |
| GymMaster | Add-on, $150 a month plus $450 setup | 551 on top, plus 1,653 setup |
| Arbox | Professional plan only | 1,098 for the plan |
| WellnessLiving | BusinessPro plan only | 1,282 for the plan |
| Mindbody | Add-on above Starter, price not published | Quote |
Read from each vendor's own pricing page on 19 Oct 2026, converted at AED 3.6725. Apple's $99 a year and Google's $25 once apply on every platform that publishes under your name.
Our AED price guide puts these on a full gym bill, and your own member app explains the difference between a skin inside someone else's app and a real listing under your name.
What else members do in the app
QR check-in is what gets members to install the app. What keeps them opening it is everything else they'd otherwise ask the desk about.
- See what's due and renew or upgrade, paying by card through your own Stripe or Nomod account. Online payments.
- Book classes on their membership or a class pack, with an automatic waitlist. Class booking.
- See their trainer and how many PT sessions they have left.
- Track a visit streak, badges and a monthly goal, the small nudges that make a membership a habit.
Rolling it out without a queue at the door
- Put the scanner where people already pause, just inside the door, at chest height.
- Send every member a WhatsApp with the app link a week before the switch. How to automate those messages.
- Run the old method alongside QR for one week, then switch it off.
- Keep a few printed QR cards at the desk for members whose phone is flat.
- Watch the attendance report in week two. Members who haven't checked in yet are the ones to call.
Frequently asked questions
Do I need special hardware for QR check-in?
No. Any Android phone or tablet in scanner mode works as the check-in point. If you already have an eSSL or ZKTeco fingerprint or face device, ManageYourGym connects to it as well.
Can members share their QR code?
A screenshot can be shared, which is why most gyms keep the scanner in sight of the desk. Every scan is logged against the member, so a code that checks in twice in an hour, or at odd times, stands out in their visit history.
How long does it take to get an app under my gym's name?
We build and submit it once we have your logo and developer accounts. Apple and Google then review it, and their timing is theirs. Members can check in with the ManageYourGym app and your gym code in the meantime.
What happens when an expired member scans in?
You choose. The scanner can stop them with a clear message to renew, or let them in during a grace period you set. Either way the desk sees it, and the member can renew in the app on the spot.
Want to see the scanner and the app under your own name? Book a 20-minute demo and we'll show both with your gym's logo.
