How to Automate Gym Fee Reminders on WhatsApp in the UAE

Members in Dubai answer WhatsApp, not email. Here's how to send renewal and payment reminders from your gym's own WhatsApp number automatically: the setup, five reminders with copy you can adapt, when to send them, what Meta charges per message in AED, and the mistakes that get a number blocked.

To automate gym fee reminders on WhatsApp in the UAE, you need three things: a WhatsApp Business number on Meta's official platform (not the WhatsApp Business app on a phone), reminder messages Meta has approved as templates, and gym software that knows each member's due date and sends the right template on the right day. Each reminder costs your gym about 6 fils (AED 0.0576, plus 5% VAT) at Meta's UAE rate for utility messages.

Below is the setup, the five messages worth automating with copy you can adapt, the timing that works, what it costs a 300-member gym in a year, and the mistakes that get a number blocked. It's written for gyms and studios in Dubai, Abu Dhabi and Sharjah, where WhatsApp is how members expect to hear from you.

Why not just send reminders from the WhatsApp Business app?

Most UAE gyms start here: a receptionist with the WhatsApp Business app on the front-desk phone, a spreadsheet of expiry dates, and a copy-paste message. It works until you have about 100 members. Then three things go wrong.

  • Someone has to remember. Reminders go out when the receptionist has a quiet hour, not on the day the membership ends.
  • The app has no idea who paid. A member who renewed by card last night still gets this morning's reminder, and they notice.
  • Broadcasts only reach people who saved your number. Members who never added you to their contacts don't get broadcast messages at all, and they're usually the ones who drift away.

The WhatsApp Business Platform (Meta's API, which gym software connects to) fixes all three. Messages go from your gym's number, triggered by the member's real due date and payment status, whether or not they saved your contact.

How to set it up, step by step

  • Pick the number. Use a number that isn't already on WhatsApp, or plan to move your current Business app number onto the platform. Meta lets you keep using the Business app on the same number in some cases, but a fresh number is the clean option.
  • Have a Meta Business account in the gym's name. Your trade licence name should match, because Meta may ask you to verify the business before you can send at volume.
  • Connect the number to your gym software. With ManageYourGym we connect it with you: you sign in with Facebook, pick the number, and it's done. No developer, no separate WhatsApp provider.
  • Use approved templates. Every business-started WhatsApp message is a template Meta has approved in advance, with blanks for the member's name, plan, amount and date. Good gym software ships these already approved.
  • Switch the reminders on. Choose which reminders run, on which channel, and at what time of day. Then send yourself a test as a member.

The five reminders worth automating

These are the messages that collect money or stop a member drifting off. Adapt the wording, keep it short, and always say exactly what's due.

ReminderWhen it goesExample copy
Renewal coming up7 days before expiry"Hi Sara, your 3-month membership at Peak Fitness ends on 2 November. Renew in the app to keep training without a break."
Renewal, closer3 days and 1 day before expiry"Hi Sara, your membership ends tomorrow. Renew in the app or at the desk and your next visit is covered."
Payment overdue1, 3 and 7 days after the due date"Hi Omar, AED 450 for your October PT package is still open. You can pay by card in the app."
We miss youAfter 10 days with no check-in, then at 21"Hi Priya, we haven't seen you in a while. Your membership is active until 30 November, so come in this week."
WelcomeOn joining, then at 3 and 7 days"Hi Priya, welcome to Peak Fitness. Your app is ready: show your QR code at the door."

Names, amounts and dates fill in from the member record. The member pays in your app by card, so the reminder never carries a bank account number.

When should gym fee reminders go out?

Timing matters more than wording. A reminder that lands at 7am on a Friday gets read and ignored. The same reminder at 6pm on a Tuesday gets paid.

  • Send between 10am and 8pm Dubai time. Early-morning messages feel like spam.
  • Avoid Friday midday and the evening iftar hour during Ramadan, when members have other things on their mind.
  • Stop at three payment reminders for the same amount. After that, a person should call.
  • Stop the moment they pay. If the reminder engine reads the same payment ledger your desk uses, this happens on its own.

What does WhatsApp reminder automation cost in the UAE?

Meta charges per delivered message, and has offered billing in AED since April 2026. Reminders are utility messages, which Meta prices at AED 0.0576 each for UAE recipients, plus 5% VAT. Promotional messages (a Ramadan offer, a new class) are marketing messages, which cost several times more and rose again on 1 October 2026. Keep your reminders factual and they stay in the cheaper category.

Here's a realistic year for a 300-member Dubai gym on monthly and quarterly plans.

MessageHow many a yearCost (AED)
Renewal reminders (7, 3 and 1 day before)300 members × about 6 renewals × 3311
Payment overdue (about 1 in 5 renewals)360 × 362
We miss youabout 40023
Totalabout 6,880 messagesabout 396, plus 5% VAT

Meta's UAE utility rate, AED 0.0576 per delivered message (Meta's pricing page and rate card, read 27 Oct 2026). Meta has charged utility messages inside an open chat since 1 October 2026 too.

That's about AED 33 a month to stop chasing renewals by hand. Some WhatsApp providers add a platform fee or a markup per message on top of Meta's rate, so ask before you sign. With ManageYourGym, the number and the Meta account are yours, so Meta's bill comes to you directly.

Mistakes that get a gym number blocked

  • Messaging people who never agreed to hear from you. Meta's policy needs opt-in. Add a line to your joining form ("I agree to get membership and payment updates on WhatsApp") and you're covered for reminders.
  • Mixing offers into reminders. A renewal reminder with a "20% off PT this week" line can be re-categorised as marketing, at the higher rate. Send offers separately, to people who opted in to offers.
  • Sending to the wrong format of number. UAE mobiles need +971 and no leading zero (+971 50 123 4567). A 050 number fails silently.
  • Ignoring blocks and reports. If members keep blocking you, Meta lowers your number's quality rating and then limits how many you can message a day. That usually means too many reminders, so cut the count.

How ManageYourGym runs it

Reminders in ManageYourGym are built on the same records your desk uses, so they know who's due and who just paid. Renewal and overdue reminders are on by default for a new gym. The win-back, welcome and birthday messages are one switch each. Every reminder can go on WhatsApp from your own number, email, SMS or an app notification, and every send is logged with whether it was delivered. See how reminders work.

The part that actually collects the money is what happens after the message. Members tap through to your app, under your gym's name on every plan, and pay by card through your own Stripe or Nomod account. The renewal updates when the payment confirms. Nobody has to check a transfer screenshot. Partial payments, payment plans and tax invoices in AED with your TRN live in billing.

Frequently asked questions

Is it legal to send gym payment reminders on WhatsApp in the UAE?

Yes, for members who agreed to get updates from you. Meta's WhatsApp Business policy requires opt-in, so collect it on the joining form. Keep reminders about the member's own membership and payments, and send promotions separately to people who opted in to them.

How much does a WhatsApp reminder cost in the UAE?

Meta charges AED 0.0576 plus 5% VAT for each delivered utility message to a UAE number, which is the category payment and renewal reminders fall into. A 300-member gym sends about 6,900 a year, roughly AED 400. Marketing messages cost several times more.

Can I use my existing WhatsApp Business app number?

Often, yes. Meta allows some Business app numbers to be connected to the platform and keep working in the app. If yours can't, use a new number for automated messages and keep the old one for chatting with members.

Do members need to save my number to get reminders?

No. That limit applies to broadcast lists in the WhatsApp Business app. Template messages sent through the WhatsApp Business Platform reach any member with WhatsApp on the number you hold for them.

Can members pay straight from the reminder?

The reminder sends them to your gym's app, where they see what's due and pay by card through your own Stripe or Nomod account. The money settles to your account and the membership renews when the payment confirms.
