Free Gym Management Software in India: An Honest Guide

There's no free-forever gym software that will run a 150-member gym properly, and four different things get sold to you as "free". Here's what each one really is, the spreadsheet setup that genuinely costs nothing, and the point where free starts costing more than paying.

Short answer: if your gym has fewer than about 40 members, a properly built Google Sheet is the best free option in India and I'll show you how to lay it out. Above roughly 100 members, "free" quietly becomes the most expensive choice you're making, and it isn't close.

The messy part in between is that four completely different things get advertised as free gym software, and the directory pages you land on won't tell you which one you're looking at. I went through Techjockey's free gym software category while writing this: it lists a dozen products with "Try For Free" buttons next to paid prices, and never once says whether free means a two-week trial, a capped free tier, or nothing at all. That's the whole problem with searching for this.

So this post sorts out what free means, gives you the spreadsheet that actually works, and shows the arithmetic for when paying starts making sense. I sell paid gym software, so read the cost comparison sceptically — I've put my own numbers in it so you can check them.

The four things people call "free"

Work out which of these you're being offered before anything else. They have almost nothing in common.

One thing that's never free, on any plan, from any vendor: sending WhatsApp messages. Utility template messages carry a per-message charge set by Meta that the software company pays and passes on. If a free plan promises automatic WhatsApp reminders at no cost, either they're absorbing the bill for now or you're about to discover a message pack. The free option that actually works: a spreadsheet, built properly

Most gym owners already have a spreadsheet. It's usually one sheet with a name column, a phone column and an amount column, and it stops being trustworthy at about the thirtieth member. Two sheets and four formulas fix that, and this setup will comfortably run a 40-member gym for years.

Use Google Sheets rather than Excel on a laptop. Not because it's better software, but because it autosaves, keeps version history, opens on your phone at the desk, and there's exactly one copy of it. Half the spreadsheets I've seen fail did so because there were three files called gym_final.xlsx.

  • Sheet 1, Members — Member ID, Name, Phone, Joined on, Plan, Plan amount, Plan start, Plan end, Status, Notes
  • Sheet 2, Payments — Receipt no, Member ID, Date, Amount, Mode (cash/UPI/card/transfer), What for, Taken by
  • Give every member a permanent ID (M-001, M-002) and never reuse one, even after somebody leaves. That ID is what ties the two sheets together
  • One row per payment on Sheet 2 — never overwrite an amount. A part payment is a second row, not an edit
  • Never sort a column on its own. Select every column first, or you'll scramble names against phone numbers, and there's no undo three days later
  • Download a copy as Excel on the 1st of each month and keep it. That is your backup

Four formulas make it work. In the Members sheet, put the balance owed in its own column with =Plan amount − SUMIF(Payments!B:B, Member ID, Payments!D:D), which totals everything that member has ever paid against what they were charged. Put days to expiry as =Plan end − TODAY(). Make Status read itself off that: =IF(days<0,"Expired",IF(days<=7,"Expiring","Active")).

On the Payments sheet, one SUMIFS gives you this month's collection between two dates, and a second one filtered to Mode = Cash gives you today's cash — the number you compare against what's actually in the drawer before locking up. That single habit catches more missing money than any software will.

Then filter Members by Status = Expiring every Monday morning, and message that list. That's your entire renewal process, and honestly it works — the whole 15-day sequence in how to handle renewals without chasing people can be run off this sheet by hand.

Where the spreadsheet stops being free

Not "stops working" — it keeps working. It just starts charging you in a currency that doesn't show up on a bill.

  • Every reminder is typed by a human. At 150 members you've got roughly 35 renewals and a dozen overdue accounts a month, each needing two or three messages. That's an hour or two a week of somebody's evening, every week, forever
  • Two people can't reliably use it at once. Front desk edits row 84 while you're editing row 84 from home, and one of you loses
  • Attendance is where it genuinely gives up. Nobody maintains a daily attendance grid for 150 members by hand past week three
  • There's no record of who changed what. A number that's wrong is just wrong, with no way to find out when or by whom
  • GST invoice numbering has to be typed and watched. The series discipline in our gym bill and receipt format guide is all manual here, and gaps happen
  • Nothing is member-facing. No self check-in, no member seeing their own dues or expiry date, so every small question comes to you
  • One careless share link, or one sort gone wrong, and your entire member phone list is either loose or scrambled

None of those matter at 30 members. Most of them matter at 150. The honest test isn't how many members you have — it's whether you spent more than an hour last week doing something a computer would have done, and whether you can say today, from memory, exactly how much is owed to you.

About "free download full version"

This search phrase is popular enough in India that it has its own autocomplete suggestions, so it's worth being direct about it. What you find behind those links is a cracked copy of paid desktop gym software, usually years old, distributed with a keygen.

Set aside that it's illegal for a moment, because the practical problems are worse. The data sits on one PC in your gym — one hard-disk failure and every member record is gone, with no backup and nobody to call. It never gets updated, so when the GST rate changed in September 2025 your invoices kept printing the old one. Installers from those sites are a well-known way to pick up malware, and the machine you've infected is the one holding a few hundred members' names and phone numbers. That's their data, not yours, and you're responsible for it.

If your reason for wanting the cracked version is that you don't want a monthly subscription, that's a completely fair position and a lot of Indian owners hold it. The legitimate version of that preference is a spreadsheet you own outright, not a pirated copy of something else — and it's a question worth its own comparison, which is on the queue.

What to check before you trust any free plan

If you do decide to try a capped free tier, seven questions decide whether you can get out again later. The export one is the only one I'd call a dealbreaker.

  • Can you export your members and payments to Excel or CSV yourself, without emailing support? If not, don't put your data in. That's the single question that matters
  • What exactly is the cap — members, staff logins, branches, or messages? Get the number, not "suitable for small gyms"
  • What happens when you hit it? Locked out of adding members is annoying. Locked out of reading what's already there is a hostage situation
  • Are WhatsApp or SMS reminders included, and at whose cost? Assume per-message charges until somebody shows you otherwise
  • Is it free forever or a trial? Ask for the answer in writing, because "free plan" and "free trial" get used interchangeably on Indian software listings
  • Who is behind it, and can you get your data deleted on request? A one-person side project can vanish; so can your member list
  • Does anything of theirs show up in front of your members — their branding on your receipts, or ads?

What free actually costs at 150 members

Here's the comparison with real numbers, for a 150-member gym charging ₹1,200 a month. I'm using ₹250 an hour for your time, which is roughly what an owner's hour is worth in a gym doing ₹1.8 lakh a month, and being deliberately conservative about the hours.

Prices are ours, from our own pricing page, and correct on 30 July 2026. The point of the table isn't that we win by ₹2,000 — it's that at 150 members the two options cost about the same, so the deciding factor is accuracy, not money.

Now run the same table at 30 members. The software cost stays at ₹14,389 and the manual work drops to maybe twenty minutes a week, or about ₹4,300 a year of your time. Free wins outright, and anyone telling a 30-member gym it needs software is selling rather than advising.

The uncomfortable line is somewhere around 80 to 100 members. That's where the manual hours cross the subscription, where a second staff member starts touching the records, and where the money you lose to forgotten dues starts exceeding what software costs. Where we stand on this

We don't have a free-forever plan, and I'd rather say that plainly than bury it. There's a free trial with no card required, and our cheapest plan is ₹1,499 a month for up to 150 members, ₹14,389 if you pay for the year. Every price we publish is on the pricing page with no "contact sales" step, which is more than most of this market manages.

If you have 30 members, please use the spreadsheet above. You'll get more out of the ₹14,000 by spending it on a second squat rack, and we'd honestly rather you came back at 120 members than churned out at month three. If you're past 100 members and still chasing dues from a notebook, that's the point where this stops being a money question and becomes an accuracy one.

Common questions

Is there any completely free gym management software in India?

There are free trials, and there are capped free tiers that limit members, staff logins or features. What there isn't is a free-forever plan capable of running a 100-member gym properly, and the reason is simple economics — hosting costs money every month and WhatsApp messages carry a per-message charge, so somebody has to pay for them. The genuinely free route in India is a well-built Google Sheet plus your own WhatsApp and a UPI QR code.

Can I run my gym on Excel or Google Sheets?

Yes, comfortably up to around 40 members. Use Google Sheets rather than a file on one laptop, keep two tabs — one for members and one for payments — tie them together with a permanent member ID, and let a formula work out days-to-expiry and balance owed. Above roughly 100 members the manual reminder work costs more in hours than software costs in rupees.

Is free gym software safe for my members' data?

A legitimate free tier from a real company is usually fine, provided you check two things: that you can export your data yourself at any time, and that you can have it deleted on request. A cracked "free download full version" is not safe by any measure — no updates, no backup, a real malware risk, and a few hundred members' phone numbers sitting on one unprotected PC that you are answerable for.

What happens when I hit the member limit on a free plan?

It varies, and this is the question to ask before you start. Some platforms simply stop you adding new members, which is irritating but survivable. Others restrict access to what you have already entered until you upgrade, which effectively holds your own member list against you. Get the answer in writing, and make sure you can export before you reach the cap.

What is the cheapest paid gym management software in India?

Entry prices for a single-branch gym generally sit in the ₹500 to ₹1,500 a month range, but the sticker price is the wrong thing to compare — setup fees, per-message packs and payment gateway cuts move the real figure a lot. We keep a comparison with every price read off the vendor's own pricing page rather than a directory listing, because directory prices in this category go stale within months.

What I'd do this week

Build the two-tab sheet. It takes about an hour, it costs nothing, and even if you buy software next month you'll have a clean member and payment list to import instead of a notebook to retype.

Then measure one thing for a fortnight: how long you actually spend each week on reminders, entry and working out who owes what. Not an estimate — write the minutes down. That number, and not anyone's advice, is what should decide whether you keep this free or start paying for it.
