If you are a solo trainer with a handful of clients, PTminder is cheaper and almost certainly the right call. ManageYourGym starts to win once you are running a facility rather than a client list — staff on payroll, classes on a timetable, and a gym floor to manage alongside the PT sessions.

The problem you are actually trying to solve

You are running personal training as a business, not a side income. There are packages to track, sessions that get moved, trainers to pay on different arrangements, and clients who are certain they have three sessions left when they have one.

Most of the tools built for this were built for a single trainer with a phone. The moment you add a second trainer, a room, a class timetable or a front desk, you end up back in a spreadsheet — and the software you pay for every month covers about half of what the day actually looks like.

The two products meter different things, and that is the whole story. PTminder charges by client count, so the price steps up as you sign people: $75 at 50 clients, $90.97 at 100, $150.97 at 150, $265.96 past 200. We charge by members on the plan, and Starter covers 150 of them for $79 flat. So at the small end they are marginally cheaper — $75 against $79 — and from about 100 clients onward we are well under them, roughly half the price at 150 clients. Their branded app is a $40/mo add-on on top of whatever plan you are on; ours is included. One caveat that runs in their favour: if you have a large gym floor but train only a handful of PT clients, their meter counts just those clients while ours counts every member — though at that point you are weighing a PT tool against a gym system, which is not the same purchase. Both bill annually at a discount.

How a PT package runs end to end

    Sell the package

    Record a PT package against the member — sessions, price, validity, and which trainer it belongs to. Payment goes to your own Razorpay or Stripe account.

  2. 02

    Schedule the sessions

    Book one-off or recurring sessions from the PT calendar. The session draws down the package, so the remaining balance is never a WhatsApp argument.

  3. 03

    The trainer closes it out

    The trainer opens their app, sees the day, and marks the session complete from the floor. No end-of-week reconciliation.

  4. 04

    Everyone gets paid

    Trainer earnings compute from whichever model that trainer is on — salary, per session, or a share of the package. Payslips come out of the same numbers.

When PTminder is the better choice

Every comparison page ever written says the author wins. Here is where we honestly do not.

You are a solo trainer with a short client list

Under 50 clients they are $75 against our $79, and for four dollars you would be buying a facility layer — front desk, classes, gym floor, multi-branch — that you never open. Their coaching tools are the better spend at that size.

Your clients expect to book their own sessions

PTminder does this and we do not. Sessions in ManageYourGym are booked by the trainer or the front desk. It is designed and not built, and we are not going to promise you a date for it.

You sell programmes as much as sessions

Workout builders and nutrition plan delivery are a real part of what PTminder ships. We have member fitness profiles and goals, not programme delivery. If the plan is the product, they are ahead.

You want coaching depth over operations

Client assessments, progress tracking and programme delivery are their centre of gravity. Ours is running the business around the training — packages, payments, payroll, attendance, occupancy. Pick the one that matches the half of the job you find hardest.

Questions people ask

Is ManageYourGym cheaper than PTminder?

It depends on how many clients you have. PTminder prices by client count — $75 a month up to 50 clients, $90.97 to 100, $150.97 to 150, $265.96 past 200. Our Starter plan is $79 a month and covers 150 members without stepping up. So below about 50 clients they are marginally cheaper ($75 against $79), and from roughly 100 clients onward we are well under them. Their branded app also adds $40 a month, where ours is included.

Can my clients book their own PT sessions in ManageYourGym?

Not today. Sessions are booked by the trainer or by whoever is on the front desk. PTminder does support client self-booking, and if that is central to how you work it is a real reason to choose them over us.

Do you do workout plans and nutrition plans?

No. We hold member fitness profiles, goals and history, but we do not deliver programmes. PTminder does. If programme delivery is the product you are selling, that gap matters.

Do I need a gym to use ManageYourGym?

No — PT businesses without premises use it for packages, sessions, trainers and payments. But a good part of what you would be paying for is the facility side: QR check-in, live occupancy, class timetables and memberships. If none of that will ever apply to you, weigh the price accordingly.

Can I move my clients across from PTminder?

Yes. Members, packages and remaining session balances can be imported, and we do the migration with you rather than handing you a CSV template. Ask before you commit — it is the part most people underestimate.

Which one handles multiple trainers better?

We do, on the paying-them side specifically. PTminder supports multiple trainers, but trainer compensation there is commission-shaped. We run three models — fixed salary, per-session or per-class rates, and revenue share on PT packages — with per-trainer payout reporting and a native trainer app.
